Privacy policy

Who are we and what is the purpose of this Privacy Notice?

• We are a Hockey Club affliated with the Scottish Hockey Union and have a voluntary management committee.
• We collect your / your child’s personal information if you or your child join the Hockey Club and/or complete a registration process to participate in hockey activites organised by the Highland Hockey Club.
• Under the new Data Protection law – the General Data Protection Regulation (2016) we are required to update our privacy notice to explain why we collect your data, how we use it and your rights in relation to this data.

Why do we require your personal information?

• It is very important to us that you understand why it is we are required to process and store some of your personal information. If you are a new or existing Highland Hockey Club Member and you wish to be reminded of the full list of personal information you provided us in the registration form, please get in touch with us using the contactssupplied at the bottom of this notice.
• When completing a Membership and Registration Form for the Hockey Club we ask for some personal information for the following reasons:
a) So we have your full contact details for the purpose of directly communicating with you regarding Highland Hockey Club activities and other appropriate hockey activities only;
b) Ensuring Safety i.e. the Coaches/Captain and First Aider have emergency contact details and are aware of any health, dietary, injury or other appropriate personal information;
c) Affiliating players with the Scottish Hockey Union;
d) Child Protection.

Data policy

How do we obtain and store your information and who has access to this information?

• The Highland Hockey Club Juniors require the registration forms to be completed on paper and are retained by the Senior Coach. The Juniors wil be moving to an online registration process for the next academic year – August 2018.
• The Highland Youth Academy and Senior Teams are required to complete the registration process through the Club Website.
• The membership data base has restricted and password protected access. Designated Club Officils who access the information have completed a disclosure check.
• The Website and supporting database are supplied by Pitchero who are also bound by and regulated through the General Data Protection Regulation (2016). The Pitchero Privacy statement can be found at www.highlandhockeyclub.co.uk

With whom do we share your personal information?

• The section/team Coaches / First Aider: All Information
• The Club’s Child Protection Officer: Where appropriate
• The Scottish Hockey Union: Restricted Information ie. Name Address, DOB.

For how long will we hold your information?

• Your personal information will be stored in our systems for up to 6 months after the annual Membership renewal date. After this date your data will be deleted from the database (destroyed of a paaper registration form).
• If you choose no longer to be a member of Highland Hockey Club prior to the annual membership / registration renewal, you can request your personal information be removed by either logging directly into your membership account or emailing to contact are the end of this Privacy Statement
